Obtain Subdivision Map Certificates

Subdividing your property or changing a lot line? You must get certificates from both the Department of Finance and Real Property Tax Service Agency before you can file your map with the Ulster County Clerk's Office.

You have 61 days to file your subdivision map with the County Clerk's Office once you've received approval from your local planning boardBefore you can file, you must complete the steps below to obtain your certificates. It takes at least two days to get these certificates, longer at certain times of year.

If your subdivision includes any new roads, you must also receive approval for the road names. This takes an additional 5-7 days.

    Instructions

    Step 1.Find Parcel IDs

    Find the tax map number (also called Parcel ID or SBL) for all the parcels that will be changed on the new map. You can look up the parcel(s) on Image Mate Online or the Ulster County Parcel Viewer. If you need help, Real Property staff can assist.

    Step 2.Request Tax Certification

    Call the Ulster County Department of Finance at (845) 340‑3431 to request a tax certificate for all the affected parcels. You will need to provide the tax map numbers for Finance staff to conduct the search.

    The tax certificate shows that taxes have been paid and are up to date for the past five years. 

    You should request a tax certification at least two days before filing your map. Depending on the time of year, you may be directed to obtain tax certifications from the Town or School District your property is in, which could take additional time.

    Step 3.Bring Map for Review

    When your tax certificate is ready, someone from Real Property will call to set up an appointment to review your map.

    Bring the original map (with seal and signature from your local planning board) to the Real Property office. A staff person will verify the signatures and seal, confirm it is within 61 days of local planning board approval, and make sure all the parcel numbers on all documents match the map. 

    Real property staff will prepare the required map certificate, designate the fee for the map certificate, and issue you a bill for the amount due.

    Step 4.Pay Fees and Pick Up Tax Certificate

    Walk across the hall to the Department of Finance Tax Area to pay the fees for both your tax certificate and map certificate. You will receive your tax certificate, and a receipt showing you paid for the map certificate.

    Step 5.Pick Up Map Certificate

    Return across the hall to Real Property with your receipt to pick up your tax map certificate.

    Step 6.File Map with County Clerk

    Bring the map and both certificates downstairs to the County Clerk's Office for filing.

    • Ten or more lot subdivision original, alteration, abandonment, and condominium maps: $100.00
